A partner sets up your workspace, you claim it

A reseller, agency or CA can set a client's Finocket workspace up on their behalf (GSTIN, opening balances, plan and any promo already applied) and send a claim link. The client claims it with one email and it becomes theirs, fully set up. The partner is never the client's session; every action is their own, attributed and auditable, and their admin seat survives the claim only disclosed, never silent.

A partner (a reseller, an agency, or a CA) can set a client’s Finocket workspace up on their behalf: GSTIN, opening balances, a plan, and any promo already applied. The client then claims it with one email and it becomes theirs, fully set up, with nothing to re-enter.

What the partner does

From Partner workspaces, a partner fills in the prospect’s GSTIN, the owner’s name/email/phone with a DPDP acknowledgement, a plan or trial, and an optional promo, then sends a claim link. The workspace exists from that moment, with the business profile already filled in.

The partner can start on the books before the owner accepts. What the partner sets up in the workspace moves to the owner when they accept: customers and suppliers, items and stock, invoices, quotes, orders, expenses and purchases, payments, the chart of accounts and opening balances, GST and TDS set-up, saved reports and schedules, automations, and team invites sent into the business. After that the partner keeps an admin seat, and everything entered is in the owner’s books.

Settings and the business profile are not carried over. The details typed into the setup wizard do move with the workspace. But changes made from inside the workspace to its settings or business profile before the owner accepts are saved to the partner’s own account, not the workspace, and do not move across. The owner sets them after accepting.

A few things stay with the partner, because they belong to the partner rather than to the business: their notifications, sign-ins to other apps and API keys they created in the developer portal, Slack or chat alert destinations, and marketplace connections. The owner sets those up again. Loyalty-point, gift-voucher and digital-gold entries can never be edited, so they stay recorded under the partner, but every customer’s balance carries over. And if the owner’s own account already has an item with the same SKU or a credit note with the same number in another business, that one kind of record cannot move automatically and stays with the partner until support moves it.

No GSTIN yet? Plenty of businesses are not GST-registered (a new shop, a freelancer, a trader under the threshold). Tick This business doesn’t have a GSTIN yet and type the business name instead. The owner can add the GSTIN later from their company profile. Without a GSTIN, the owner’s email is what stops the same person being sent two open claim links.

Only what you need is required. The wizard marks every optional step. The GSTIN (or the business name), the owner’s name and email, and the DPDP acknowledgement are the only things you must give. The legal name and address are optional. Whatever the GST fetch found is filled in for you to edit or leave. The Plan step can be skipped: Skip starts the client on Solo with a 30-day trial and no promo code, and the preview says the default was used.

Handing it over

On the last step you choose how the owner gets the claim link. The workspace is created either way.

  • Email the owner now: we send the claim link to the owner’s email straight away.
  • I’ll share the link myself: nothing is emailed. You get the link to copy, or to send on WhatsApp with a message already written that says you are handing the workspace over and asks them to accept it. Changed your mind? Email a fresh link on the same screen sends it after all.

The result screen always says what actually happened (emailed, not emailed because you chose to share it, or not emailed because email isn’t available), so a link is never reported as sent when it wasn’t.

Sending a fresh link

On Partner workspaces, every workspace still waiting to be claimed, and every one whose link has expired, has Send a fresh link. Choose to email the owner, or take the link to copy or share yourself. A fresh link works for another 30 days, and the old one stops working the moment it is made. An expired workspace comes back to Invited. Each row shows the date its link expires, or expired.

A fresh link is refused, with the reason, when the owner has already claimed the workspace, when it went unclaimed for 60 days and the owner’s details were removed, when bringing it back would put you over your limit of open workspaces, or when the same business already has another open claim link. The firm’s owner or an admin on the team can send one, the same as opening a workspace.

Never impersonation. The partner is always acting under their own login. Nothing about this borrows the client’s session or credentials, and every action the partner takes is attributed to their own seat, auditable the same way any other admin’s actions are.

What the client does: accept the handover

The email says the partner is handing the workspace over to you and asks you to accept it. Its link opens a handover page that names the partner, the business and the address the workspace was set up for (shown masked, for example a•••@example.com), and the date the link stops working. Nothing changes until you accept.

  • New to Finocket? Create your account on the same page: your name, the address your partner used, and a password. If we email you a confirmation code, type it on that page and the handover finishes there.
  • Already have an account with that address? Press Sign in to accept. After signing in you come straight back to the page.
  • Signed in with a different address? The page says so and offers Sign out, which brings you back to the same link.

Press Accept ownership and you become the owner straight away: the GSTIN, company details, plan and any promo the partner already set up are there, and you land on your dashboard rather than the new-business setup. A link is valid for 30 days; after that, ask the partner to send a fresh one.

What happens to the partner’s access

The partner’s seat survives the claim, and you are told so in three places. The page you accept on says so, your dashboard shows a notice naming the partner and the seat they hold until you dismiss it, and the Team screen marks that row distinctly: “Added by [Partner] while setting up your workspace, [date].” From there it is an ordinary admin seat. The owner can revoke it exactly the way they would revoke any other team member’s access, any time.

What the partner’s seat never holds, even while it exists: bank-feed, filing and payment-gateway credentials, and AI-autonomy or AI-action-reversal rights. Those stay gated to the owner alone, regardless of who else has admin access.

When a claim link is refused

A handful of checks keep this safe:

  • The business is already a customer. One legal entity is one Finocket org, so a GSTIN or PAN already attached to an existing workspace refuses a second, separate one.
  • Self-referral. A partner cannot provision a workspace using their own account email as the owner.
  • Too many open drafts. Each partner has a cap on how many unclaimed workspaces they can have open at once. Ask the client to claim, or cancel an old draft, before starting a new one.
  • An expired, already-accepted or invalid link. The handover page says which, and shows only names and a masked address, never the full address, phone or GSTIN.

Frequently asked questions

Can a partner see my bank feed or filing credentials?

No. A partner's admin seat, even while it exists after you claim the workspace, never carries bank-feed, filing/gateway credentials, or AI-autonomy and AI-action-reversal rights. Those stay owner-only regardless of who else has admin access.

Does the partner keep access after I claim my workspace?

Yes, until you remove it, and you're told about it. Your first login names the partner and the seat they hold, and your Team screen marks that row as “Added by [Partner] while setting up your workspace, [date]” so it's never a mystery. Revoke it any time, the same way you'd revoke any other team member.

Why couldn't I accept the handover?

The page says which: the link expired (links last 30 days), someone already accepted it, the link isn't valid, or you're signed in with a different address from the one your partner used. For the first three, ask your partner to send a fresh link. For the last, press Sign out on the page and come back with the address it shows (for example a•••@example.com).

I already have a Finocket account. Do I need a new one?

No. If your account uses the address your partner set the workspace up for, the handover page offers Sign in to accept; sign in and you come straight back to the page to press Accept ownership. The business is added to your account as a workspace you own.

The owner lost the email, or the link expired. What now?

Open Partner workspaces and choose Send a fresh link on that row. Email it to the owner, or copy it or share it on WhatsApp yourself. The fresh link works for another 30 days, the old one stops working, and an expired workspace goes back to Invited. It is refused only if the workspace was already claimed, or went unclaimed for 60 days and its details were removed.

Can I share the claim link myself instead of emailing it?

Yes. On the last step choose I'll share the link myself. Nothing is emailed, and you get the link to copy or send on WhatsApp. You can still email it from the same screen afterwards.
